Working with limited administrative resources and a number of facilities across the U.S., the team needed to move beyond the paper process that was not only time consuming, it limited the scope of collaboration. With Quality Manager, they had identified several features that they knew would help them with compliance in day-to-day operations and with their QAPI process strategies. The goal was to embrace a process that was efficient and provided more visibility into the survey process.

Quality Manager was implemented at each of the facilities with support from the administrative governing body, which is very involved in the success of each location. They immediately gained the ability to address system-wide or macro-level issues via a PIP structure, but also had the ability to flag less formal issues as action items for speedy correction. It’s also easier to prepare for mock surveys, because the governing team doesn’t have to “divide and conquer,” by traveling to each facility. They can manage meetings online as a team while utilizing Quality Manager to keep everyone on the same page.

The governing team quickly realized the benefit of using Quality Manager during the pandemic due to the ability to access a historic timeline of events. During this period, regulatory changes were occurring rapidly, so the team created a tracking system within the platform to create a historical record of their actions. In one instance, the team was able to mitigate litigation against one of the larger facilities by using the timeline of events created in Quality Manager to document their actions in meeting regulatory requirements.
